Your phone system knows who is calling, when, and for how long. Your CRM knows who your customers are, what they bought and which issues are still open. Yet in many businesses, the two systems never talk to each other. The result: staff hunt for the customer record while the caller waits, retype notes after the call, or skip the notes entirely.
An integration lets your systems share information automatically, without entering it again in each tool. At Evolute, we build our own 3CX integrations that connect your phone system to your CRM and business applications. Here is how they work and what they change for the people answering calls and handling follow-ups.
The tasks an integration handles
An integration between 3CX and a CRM can automate several tasks employees repeat throughout the day:
- Caller identification: the number is looked up in your CRM and the record pops up on screen while the phone is still ringing.
- Contact creation: new callers can be added automatically, following rules you define.
- Call logging: every call is recorded on the customer’s file, with duration, agent and outcome.
- Click-to-call: any number in the CRM can be dialled through 3CX with one click.
- AI insights: when 3CX’s built-in AI is enabled, the transcript, summary, sentiment and recording link are added to the logged activity.
Each step takes little time, but it repeats with every call and across the team. Automating these tasks reduces manual entry and keeps a record of conversations in the customer’s file, where staff need it for their work.
Two ways to connect your systems
Our integrations come in two forms. A native template is uploaded to your 3CX and talks directly to your CRM’s API, with nothing else to host. It is the simplest route when your needs fit what a template can do.
A hosted connector is a service we run between 3CX and your CRM for requirements that go beyond a template: automation rules, advanced mappings, multiple instances or live monitoring. Hosting, monitoring, backups, updates and maintenance are all included. Either way, you need 3CX V20 Pro or AI with CRM integration enabled.
Three examples from our catalogue
NetSuite
Our NetSuite integration identifies customers, contacts and leads on every call and chat, with a configurable lookup order across customers, contacts, vendors and partners. Each call becomes a phone call record in NetSuite, and AI notes can be written to the fields you choose. Click-to-call from NetSuite can also be tied to a transaction.
Zendesk
For support teams, every 3CX call becomes a Zendesk ticket with a full timeline: start, answer, transfer and closing notes, the recording attached and optional auto-close. Tags and queue-to-group mapping keep your tickets properly organized.
monday CRM
With monday CRM, you choose the boards used to identify callers and map their columns to the information you want to exchange. Calls and chats are logged as items or Activities, and conditions based on number, agent, queue or call direction decide what gets logged and where.
What it changes for your business
Integrations also help staff find the information they need to answer customers and follow up on their requests:
- staff greet customers by name, with their history right in front of them;
- managers see real phone activity directly in the CRM, without compiling reports;
- a colleague picking up a file can review the exchanges logged during the last call;
- data is entered once, which means fewer errors and duplicates.
The aim is to make call history available in the tools your team already uses, without asking people to copy it from one system to another.
Adapting the integration to your tools
Every business has its own tools, and some are highly specialized. If no existing product fits, our development team can adapt an integration or build a new one. We always start by looking at your current tools and the information that needs to flow between them, then propose the simplest approach that meets your needs. Our integrations can also be installed on an existing 3CX system, no matter who deployed it.
To choose an integration, start with the exchanges that take the most work. The information your team needs during a call and wants to keep afterwards will help you decide what to automate.
