A call summary can spare a colleague from replaying an entire conversation. An AI agent can greet a caller when the team is busy. These are two uses of the AI built into 3CX. To decide which ones are useful for your business, consider how they work, which tasks they handle and the choices you need to make before enabling them.
Feature availability depends on your 3CX edition, your licence and how your system is hosted. We always confirm those details with you before planning anything.
Call transcription
Transcription lets you review the content of a call as text. 3CX converts recorded calls to text, with automatic language detection and speaker separation, so you can clearly tell what the agent said from what the customer said. Recent versions also include timing information in transcripts, which makes it easy to jump to a specific moment.
There are two ways to run it:
- 3CX cloud transcription, which requires no special hardware;
- onboard transcription on your own server, on premises or in your cloud, fitted with a suitable GPU, for organizations that want to keep processing in-house.
The right choice depends on your call volumes, your privacy requirements and the infrastructure you already have. It is a conversation we have with every client.
Summaries and sentiment analysis
Building on the transcript, 3CX generates a summary of each call. Instead of replaying a full recording, a manager or colleague gets the gist in a few lines, to prepare a follow-up or take over a file without listening to the whole call.
Sentiment analysis gauges the tone of the conversation and can be viewed by call, by agent, by queue and by ring group. In practice, it helps you:
- spot interactions that need a quick follow-up;
- recognize agents who consistently do well and learn from their approach;
- guide training based on trends rather than gut feeling;
- compare queue wait times against customer mood.
3CX reporting brings sentiment, summary and transcript together in a single call log view, so nobody has to juggle several tools to understand a call.
AI agents at reception
More recently, 3CX introduced AI agents that can answer calls in roles such as receptionist or personal assistant. A receptionist agent greets callers in natural language, understands what they need, looks up the right team member by name and transfers the call, checking whether that person is busy first if needed.
These agents draw on a knowledge base you provide so they can answer with context, and their instructions can be customized. They can also flag spam and abusive callers, and they offer a confidentiality mode. They run on OpenAI or Grok, connected with your own account and key, or on a self-hosted 3CX AI Server (an NVIDIA GPU or a Mac with an Apple M1 chip or newer) to keep conversations in-house, a choice worth factoring into your evaluation.
The boss-secretary feature follows the same idea: it screens calls for a manager, with either a person or an AI agent acting as the secretary, while letting approved callers through and respecting office hours.
AI that reaches your CRM
Summaries and transcripts are easier to find when they are in the CRM your team already uses. 3CX can add sentiment to CRM call journaling, and our own integrations go further: when AI analysis is enabled on your system, they write the transcript, summary, sentiment and recording link straight into the logged activity. Your team can review the call in the customer’s record, with fewer notes to enter by hand.
Decisions to make before enabling AI
AI deals with conversations that often contain personal information. Before enabling it, we recommend thinking through a few points:
- Consent and transparency: let callers know calls may be recorded and analyzed, and meet your privacy obligations.
- Where processing happens: cloud or onboard, depending on how sensitive your data is and your internal policies.
- Retention: how long to keep recordings and transcripts, and who can access them.
- Intended use: sentiment analysis is a coaching tool, not a verdict on an employee.
A call summary is useful when a colleague can find it in the customer’s file and use it to prepare for the next conversation.
Choose features according to your team’s needs: reducing note-taking, reviewing service quality or greeting callers when staff are busy. Hosting, access and retention are part of that decision too.
