What does a 3CX phone system really cost?

Look beyond the licence. Hosting, SIP service, equipment, deployment, support and integrations all affect the cost of a system and the value it can bring to your team.

For many businesses, the phone system is an expense nobody questions anymore. The old system works, the contract renews, and no one has time to look into it. Reviewing that expense gives you a chance to examine two things: what you pay and how much time your team spends managing communications.

3CX is a software-based communications system that brings voice, video and chat together on a single platform. To assess its value, you need to understand what could lower costs and simplify your team’s work. We cover those factors here so you can compare them with your current setup and decide which ones matter to your business.

Choosing where the system runs

Traditional phone systems rely on proprietary hardware: a PBX in a back room, expansion cards, handsets that only work with that brand, and a maintenance contract to keep it all running. An addition or office move can therefore require work on site.

3CX is software, and you choose where it runs:

  • hosted by 3CX, with no infrastructure to manage at all;
  • in your private cloud (Azure, AWS or Google Cloud);
  • on premises, as a virtual machine on VMware, Hyper-V or KVM, possibly on a server you already own.

These options can avoid the purchase of a dedicated PBX and make changes easier. Adding a user, opening a location or moving a team can be handled through configuration, reducing the need for rewiring.

Licensing by simultaneous calls

Dedicated 3CX licences are based on the number of simultaneous calls, not the number of users. In practice, a business whose employees are not all on the phone at once pays for the capacity it actually uses rather than for every seat. Hiring more people doesn’t automatically push the bill up.

3CX comes in three editions, Basic, Pro and AI, and the higher editions add features such as advanced call queues, skills-based routing and failover. We help you size the capacity and pick the edition, and you can upgrade as your needs grow without starting over.

Reviewing lines and devices

SIP trunks replace traditional phone lines with voice circuits carried over the internet. They scale more easily with your needs, and you keep your existing numbers through a port that we coordinate. If some analog lines have to stay, for a fax machine or an alarm panel for instance, a gateway connects them to 3CX.

On the hardware side, you are not locked into a single manufacturer. 3CX works with a wide range of supported IP phones, and some of your current handsets may be reusable: we take inventory during the site visit. For many employees, the desktop or mobile app replaces the desk phone altogether.

Using your extension remotely, without a VPN

With the 3CX apps for Android, iOS and Windows, or the web client, employees take their extension wherever they go: the office, home or the road. They keep their business number, see their colleagues’ presence and transfer calls just as they would at their desk, with no VPN to set up.

These apps support remote and hybrid work without additional mobility costs. They avoid forwarding calls to personal cell phones, which can expose the employee’s own number and make calls harder to track.

Fewer tools to pay for and manage

3CX brings together tools that businesses often buy separately:

  • video conferencing, with guests joining from a simple web link;
  • website live chat, WhatsApp, Facebook Messenger and SMS in one inbox;
  • call queues, call recording and reporting.

Every subscription you drop is one less invoice, but more importantly one less tool to configure, secure and explain to your staff. 3CX also integrates with Microsoft 365 and Teams for user sync, single sign-on and presence.

Reducing the work around each call

Time savings often come from tasks repeated throughout the day. Here are the features to consider for your team:

  • The right call to the right person: queues, ring groups and skills-based routing cut down on needless transfers.
  • Less waiting for your customers: automatic callback gives callers an alternative to waiting on hold or hanging up in frustration.
  • Context on screen: connected to your CRM, 3CX pops up the customer record as the phone rings, logs the call and lets staff dial with a click.
  • Better-equipped managers: listen-in, whisper, wallboards and detailed reports help you adjust staffing and coach your team.
  • Less note-taking: depending on your edition and licence, 3CX’s built-in AI can transcribe, summarize and score the sentiment of calls.

Potential savings extend beyond the phone bill. They can come from less time spent looking for information, fewer missed calls, trips avoided through video meetings and fewer tools to maintain. Those gains depend on how your team uses the system. To measure them honestly, you have to start from where you are today: your lines, your contracts, your call flows and your pain points.

That is why every project with us starts with a review of your current system and a site visit, followed by a tailored design and a planned migration that keeps disruption to a minimum.
